Privacy Policy

Who we are

This policy is for the Ren Roo Life Coaching website, client portal, and practice desk (the “Service”). The practice is operated by Ren Roo Life Coaching. Contact: coach@renroo.life.

Information we collect

• Account details: name, email, WhatsApp, Telegram handle, and profile notes you provide.
• Booking details: program, session, chosen times, Zoom links, and calendar invite records.
• Payment details processed by our payment provider. We store payment status and related transaction identifiers, not full card numbers.
• Files you or the practice upload to a program folder, including session recordings and transcripts from Google Meet or Zoom (kept for a limited time).
• Messages sent to the practice by email, WhatsApp, or the coach’s Telegram when you enquire.
• Technical data such as sign-in tokens and basic usage analytics (including Google Analytics, if enabled).

Google user data

Clients may sign in with Google. In that case we receive the Google account email and basic profile information needed to create or recognise a portal account.

Separately, the practice may connect its own Google account so the Service can:

• Read free/busy times and create, update, or delete events on the practice Google Calendar when a session is booked, moved, or cancelled.
• Send session confirmation, reschedule, and cancellation emails through the practice Gmail account.

We do not read client Gmail inboxes. We do not request access to a client’s Google Calendar. Google Calendar and Gmail access is used only to run bookings and send related mail for people who use the Service.

How we use information

• To create accounts, take payment, book Zoom sessions, and send calendar invites and email notices.
• To show clients their programs, files, and session times in the portal.
• To operate the practice desk (leads, sessions, recordings).
• To improve reliability and security of the Service.

We do not sell personal information. We do not use Google user data for advertising, credit decisions, or unrelated AI/ML training.

Google API Limited Use

The use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Google user data is used only to provide or improve user-facing features of the Service, is not transferred to others except as needed to run those features or as required by law, and is not used for serving advertisements.

Sharing

We share information only with processors that help run the Service, including:

• Google (sign-in, Calendar, Gmail, and Analytics if enabled).
• Our payment provider (checkout and payment status).
• Zoom (meetings and, when available, cloud recordings).
• Our hosting and authentication provider (sign-in, database, and site hosting).

We may disclose information if required by law or to protect the practice and its clients.

Retention

Account, booking, and payment records are kept while the practice relationship lasts and as needed for records. Zoom recordings in the portal are removed after 7 days. You may ask us to update or delete your account information by emailing coach@renroo.life.

Security

Access to the practice Google connection is limited to authorised practice operators. Session data is stored in our cloud database with access controls. No method of transmission is completely secure.

Changes

We may update this policy. The date at the top will change when we do.
